In 2013, he created this worksheet after witnessing his manager’s stress in scheduling around 30 employees. The tool made it easier for his manager to allocate resources and ensure 24-hour coverage. Many of his friends also recognized the template’s value. It wasn’t until 2024 that he realized there was a broader demand for such a timesheet. Therefore, he decided to make this template available to the public for a minimal fee.

Workbook and Worksheet Protection
The template is designed carefully so the layout and the look remain as professional as possible. For this reason, only cells and ranges that are not locked can be edited. For this same reason, manually deleting a worksheet is restricted as well as adding a new sheet.
Managing Worksheets in Excel
If you badly need to add, edit, or remove worksheets beyond the preset options, follow these steps:
- Adding a New Worksheet:
- Press CTRL + Shift + A to create a new worksheet.
- Editing the Name of the Active Worksheet:
- Press CTRL + Shift + E to rename the currently active worksheet.
- Removing a Selected Worksheet:
- Press CTRL + Shift + R to remove the selected worksheet. Use this command with caution, as there is no way to restore a worksheet once it has been removed.
STAFF SCHEDULING TEMPLATE INTERFACE
Opening the Template for the first time
Note: This template is designed for Microsoft Excel on both Mac and Windows. You can share the schedule file to your colleagues using Microsoft Excel Online, or Excel for Android. However, it is recommended to manage the schedule on a laptop or desktop for optimal performance.
To open the Staff Scheduling Template in Excel for the first time after downloading it to your computer, follow these steps:
- Locate the File: Find the downloaded template file on your computer. It is usually saved in your Downloads folder unless you specified a different location.
- Open the File:
- Double-click the file to open it directly in Microsoft Excel.
- Alternatively, you can open Microsoft Excel first, then use the Open command to navigate to and select the template file.
- Enable Content: Upon opening the file in Microsoft Excel, you may see a security warning at the top of the window asking you to Enable Content. Click this button to allow the template to function properly.
- Trust the Document: If prompted with a message asking if you trust the document, click Yes to proceed. This step ensures that all features of the template are fully operational.

Suggested Zoom %
You can customize the display settings of the Staff Scheduling Template to better suit your needs. If the zoom level is set to 100% or higher, the entire interface might not fit on your computer screen. For optimal viewing, it is recommended to set the zoom level between 80% and 90%. This adjustment ensures that all elements of the template are visible and accessible, providing a more user-friendly experience.
The Worksheet
The full-year template contains 13 visible worksheets or tabs. Twelve of these tabs correspond to each month of the year, allowing you to manage schedules on a monthly basis. The additional tab is dedicated to Shift Codes, providing a centralized location for all shift-related information and codes. This structure ensures that you can easily navigate and organize your scheduling data throughout the entire year.
Navigating from one month to another
You can navigate between tabs by manually clicking on them. To make this process even easier, I have included navigation buttons in Row 8 (beside the month). These buttons allow you to quickly move from one month to another with just a click, streamlining your workflow and enhancing your user experience.
The Five Main Sections
There are five main sections of the template.
- Header: This section not only displays the dates but also allows you to add your company name or logo, providing a personalized touch to the template.
- Employees Section: Here, you can enter the names of your team members, ensuring everyone is accounted for in the schedule.
- Plotting Area: This is where you input the shift codes for each employee. It’s the core of the scheduling process, allowing you to assign shifts efficiently.
- Hours Counter: This section tracks the number of hours or days already scheduled for each employee, helping you manage workloads and ensure fairness.
- Headcount Area: This area shows the number of employees working at any given hour of the day. Note that the counters will only start to appear after you enter at least one shift code in the plotting area.
The Shift Codes
Due to space limitations and other reasons, using shift codes is highly recommended. The provided shift codes can be customized to match those used by your team. Ensure you update the shift codes in the Shift Codes tab before using them in the plotting area so they are included in the calculations. This step is crucial for accurate scheduling.
On Duty and Off Duty Codes
I coined the terms “On Duty” and “Off Duty” to differentiate between shifts. “On Duty” codes are used for shifts where an employee needs to work the whole day or part of it, and these are included in the headcount calculations. “Off Duty” codes are for non-working periods such as sick leave, annual leave, training, holiday leave, etc. These codes only affect the hours and days counter (on the right side of the template) and not the headcount per hour.
The Dates
The dates are carefully formatted to help you easily distinguish between weekdays and weekends. Additionally, the current month, current week, and current day have distinct formatting. This feature is very helpful for both you while plotting the schedule and for your team members who will be accessing it.
CUSTOMIZING THE STAFF SCHEDULING TEMPLATE
This template can be customized with your company or team logo, the names of team members, and your specific shift codes. The remaining sections are locked to preserve the layout, formatting, and calculations.
How to Change the Team or Department Name
The default title of the template is “Work Schedule” followed by the configured year (e.g., Work Schedule 2024). To change this:
- Go to cell F2.
- Type in your preferred name (e.g., Front Desk Schedule, Team Alpha Roster, or Morning Shifters Rota).
The year will always be displayed in cell F3. Note that you can only make this change in the January tab, and it will automatically reflect across the entire template.
How to Add a company logo
Adding your team logo or your company logo can is possible. To add a logo:
- Go to cell B2.
- You can either insert an image or type in a letter or two with a fancy font style.
You can modify this cell to your satisfaction. To apply this change to other months, manually copy and paste the content to the same cell in each month’s tab, as formulas do not generally work for images.
How to Add an Announcement or a Note
Cells C8 and W2 in the header section are the best part for any information you may relay to your team members. To apply these changes to other months, manually copy and paste the content to the same cells. This allows for different notes or announcements each month.
How to Add the Employee Names
The Staff Scheduling Template can manage up to 100 employees. You can simply add their first names (preferably) by typing them in manually of paste a list you already have. Changes made in the January tab will automatically reflect across the entire template.
How to Display All the Employees
While the template can accommodate up to 100 lines for employee names, the default view shows only up to 15 employees. To adjust this:
- Select rows 27 to 113.
- Right-click the selection and click Unhide.
You can adjust the number of employees shown in each month’s tab in the same manner.
How to Freeze the Header or Employee Names
Freezing cell ranges is useful for managing large worksheets. When an individual or group of rows and columns are frozen, scrolling will then be easier without losing the frozen ranges. But manually freezing the header or the employee names can take several clicks. To freeze the header or employee names:
- Press CTRL + Shift + D to freeze the Dates or Header section.
- Press CTRL + Shift + N to freeze the Names of the Employees.
These macros work only for the active month on the screen, making scrolling easier without losing the frozen ranges.
MANAGING THE PLOTTING AREA
Plotting the Schedule for the First Time
Once you have decided on the shift codes to use and updated the shift codes sheet accordingly, you can begin plotting the schedule. You can either type in the codes manually or paste them into the plotting area for the intended employees. Feel free to adjust the font style and size to suit your needs. The appearance of the plotting area will largely depend on your choices regarding color, font size, font style, and background.
Filling the Plotting Area
The easiest way to fill the plotting area, which involves adding the shifts for each employee for the entire month, is through copy-pasting. Each code should have unique cell attributes (font style, color, background, etc.) to make it easy to identify the number of employees starting work at the same hour.
Clearing the Plotting Area
Sometimes, you may need to reset the plotting area to start over. To do this:
- Click the month (Cell I8) to select the entire plotting area.
- With the active selection, delete all values and remove the background, ensuring the cells are empty with no formatting.
For advanced Excel users, a quicker method is to select and copy an empty cell in the plotting area, then select the entire plotting area and click paste. This is more efficient than manually removing the contents and formatting of each cell.
THE COUNTERS
The Time Counters
Located on the right side of the worksheet, these counters are invaluable for tracking the number of hours or days already plotted for each employee for the month and the entire year. Each subsection provides:
- The number of hours or days that need to be plotted.
- The number of days already plotted.
- The balance or remaining hours or days yet to be plotted.
These counters are particularly helpful for small businesses to calculate employee salaries and ensure all employees work the same number of hours or days throughout the year, considering leaves and other absences.
The Headcount
This tool’s most unique feature is its headcount functionality, which other templates often struggle to replicate. After spending significant time with the tool, you’ll appreciate the complexity of the formulas that provide accurate headcounts per hour. While other templates may have similar features, they often include limited shift codes in their formulas. This template can read and calculate hundreds of shift codes. Most importantly, the headcount counter detects previous shifts, displaying the count of employees working late shifts. For example, if a shift ends after midnight, the count will carry over to the next day.
Staff Scheduling Template Updates
There will be no major updates expected for the current version of the template. However, minor updates and improvements will be applied to the template for the following year. These updates may include enhancements based on user feedback and adjustments to ensure the template remains efficient and user-friendly.
